YOUR QUESTIONS, ANSWERED

Office support FAQs

Practical answers about getting started, choosing hours and staying in control of your office work.

Getting started

What are your working hours?

Monday to Friday, 8am–6pm, and Saturday, 9am–5pm, UK time. Phone and video meetings are arranged within these hours. Call-answering coverage and checking times for client work are agreed separately.

Who will handle the work?

When you join, a dedicated account manager becomes your personal contact and handles the work you agree to hand over. Our team brings over 60 years’ combined experience in business management, office management and credit control.

Can we discuss the support required?

Yes. Your first meeting can be a phone or video call lasting 10–30 minutes, depending on what you need. Book an introductory call at an available time on Google Calendar. We reserve 30 minutes and email you an invitation with a video link. If you prefer a phone call, add your number when booking. You can also send an enquiry to arrange a conversation. In-person meetings may be possible later, depending on your UK location.

What does The Office Partner do?

We provide personal office support for UK sole traders, freelancers and small businesses. You can hand over invoicing, routine payment follow-ups, inbox and diary tasks, documents and everyday administration. Telephone answering is discussed and quoted separately. Explore the six services.

Is it possible to start with one task?

Yes. One-off support is £70 for a 2-hour block. We first agree whether the task is suitable, what can reasonably fit and a start date. The allowance includes any setup, correspondence and updates needed for the work.

Can you help estimate the hours required?

A rough list is enough. Tell us the tasks, how often they come up and the systems you use. We discuss a suitable starting allowance before you decide. Ask us to help you choose.

Is support available outside the West Midlands?

No. We are based in the West Midlands and support businesses across the UK.

How is the amount of support agreed?

Tell us the hours or workload you have in mind. We agree a suitable allowance and check availability before accepting work. You can ask about more support, but additional hours and any change to the arrangement must be agreed first.

What happens after an enquiry?

We review your outline and come back with any questions. We agree the work, total price and proposed start date before payment. An enquiry does not reserve time or create a paid booking.

Prices, hours and commitments

How much does admin support cost?

Standard admin support is £35 per hour. One-off support is £70 for 2 hours. Monthly options are £175 for 5 hours, £350 for 10 hours and £700 for 20 hours. Telephone answering is quoted separately. Compare the packages and conditions.

Is a long-term contract required?

No long-term commitment is required. Monthly packages are renewed by agreement. We still agree the work, price, timing and service terms before work starts, so both sides know what is included.

When is payment due?

Packages are paid in advance, after the work and start date have been agreed. You do not pay to submit an enquiry.

What counts towards the agreed hours?

Time spent on the agreed tasks, setup, correspondence and progress updates counts towards your allowance. Time is recorded and shared. An hour allowance is not a promise to complete a fixed number of tasks.

What happens to unused monthly hours?

Unused hours expire at the end of the agreed month. It is worth starting with an allowance that fits the work you expect to hand over.

What if the work needs more time?

Extra work is discussed and agreed before proceeding, at the standard admin rate of £35 per hour. The time needed depends on the task, the source information and any setup.

Can different admin tasks be combined?

Yes. Your agreed allowance can cover a mix of invoicing, routine payment reminders, inbox and diary support, documents and other everyday admin. Telephone answering coverage is separate.

Access, approvals and updates

Can you work with existing business systems?

Where practical, yes. We discuss the tools you use and agree suitable access and a handover process. We do not assume that every system or task will be suitable.

Do clients retain control of their accounts and records?

Yes. You retain ownership of your business accounts and records. Access and responsibilities are agreed for the work. For inbox support, we use separate user access or delegation where the system allows it, and you can remove that access when the arrangement ends.

Who approves messages and invoices?

We agree in advance what we can send or handle on your behalf and what needs your approval. You provide approved prices, business information and wording. Decisions outside those boundaries are brought back to you.

How do you report completed work?

We agree how you would like updates during the handover. Time is recorded and shared, with a record of completed work and matters needing your attention.

What information belongs in the enquiry form?

A brief description of your business, the work and roughly how often it needs attention. Please do not include passwords, bank details or customer records. Detailed information and access arrangements are discussed after the initial enquiry.

What is and is not included

Can using The Office Partner reduce business costs?

It depends on your workload and alternatives. A defined allowance can be useful when you need help without employing someone directly, or when admin takes you away from customer work. We do not promise a cash saving or extra revenue. See how we can help with time and costs.

How are holiday pay, sick pay and PAYE handled?

In a genuine self-employed supplier arrangement, you pay for the agreed service. You do not provide employee holiday pay or sick pay, or run PAYE for the supplier. The supplier handles their own tax and National Insurance. This depends on the actual working relationship. See GOV.UK employment status guidance if you are unsure.

Is inbox support continuously monitored?

No. Inbox support uses agreed checking times and an hour allowance. We agree how urgent messages should be flagged; continuous or immediate availability is not included.

Is call answering included in an admin package?

No. We discuss the required coverage, likely call volume and handling instructions before quoting separately and confirming what can be arranged. Read about call answering.

Does payment chasing guarantee payment?

No. We handle routine administrative reminders and record responses. Legal debt recovery, complex disputes and a guarantee of payment are not included.

Do you provide accounting, tax or legal advice?

No. Standard support is routine office administration. You remain responsible for approved prices and business decisions, and for obtaining appropriate accounting, tax or legal advice.
