YOUR INFORMATION

Website privacy notice

How information is handled when you enquire, arrange a conversation or contact The Office Partner about your privacy.

Who to contact

The Office Partner provides personal office support from the West Midlands for businesses across the UK. For a question, request or complaint about your personal information, email Contact us or call 01384 492424.

Our commitment to your information

We are committed to handling personal information in accordance with UK data protection law. This includes the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and, where applicable, the Privacy and Electronic Communications Regulations 2003 (PECR), as amended by the Data (Use and Access) Act 2025.

These rules require personal information to be used lawfully, fairly and openly, for specified purposes, kept accurate and limited to what is needed, protected appropriately and kept no longer than necessary.

Information you provide

The enquiry form requires your name, email address and a short description of the help you need. You can also provide your phone number, business name, preferred support, starting timeframe, meeting type and preferred call times. We use this information to reply, discuss your requirements and prepare a proposal where appropriate.

The optional fields can be left blank. Without contact details and an outline of your enquiry, we may be unable to respond usefully. Please do not send passwords, bank details or customer records through the form.

Why we use this information

Where you ask us to take steps towards a contract with you, the relevant lawful basis is taking those steps at your request, under Article 6(1)(b) of the UK GDPR. For general enquiries or a message sent on behalf of another business, our legitimate interest is answering the enquiry and discussing suitable support, under Article 6(1)(f). This use must be necessary and balanced against your rights.

Sending an enquiry does not sign you up to a marketing mailing list or commit you to buying a service.

Website, email and meetings

Netlify hosts this website and processes the enquiry form through Netlify Forms. Enquiries may also be handled in our business email account when we respond. These providers process information to deliver their services.

The online booking calendar is provided by Google Calendar. On larger screens, it loads inside the contact page only when you select “View available times”. On phones, that button opens the Google booking page in a new tab. You can also open the booking page directly. It asks for your first name, last name and email address. A phone number and outline of the help you need are optional. We use these details and your chosen appointment time to arrange the conversation and send a calendar invitation. Google Meet provides a video link; if you request a phone call, we use the number you supply instead. Please share only the information needed for that conversation.

The booking page and video-call service are provided by Google and are also covered by Google’s privacy policy. Loading the calendar connects your browser to Google, which may receive technical information such as your IP address and browser details and use cookies or similar technologies under its own policy. The calendar does not load automatically, and this choice does not enable our optional website analytics.

How long information is needed

Enquiry information is kept only for as long as it is needed. The criteria are whether the enquiry or agreed follow-up is still open, whether it has led to a business relationship, and whether a legal record-keeping requirement or unresolved complaint or claim requires particular records to be retained.

UK data protection law does not set a single retention period for every enquiry. Records must be reviewed and deleted or anonymised when they are no longer needed.

Cookies and tracking

If you choose Accept analytics, we use Google Analytics to understand which pages people visit and how the website is used. Google processes information about your device, browser and use of the site. Our own events record enquiry-link clicks, the start of an enquiry, successful form submissions, and clicks to call, email or open the booking calendar. They do not include form contents, email addresses or telephone numbers. A booking-link click does not confirm that an appointment was booked.

Analytics is optional. We load the Google tag only after you accept. Rejecting analytics does not prevent you from using the website or sending an enquiry. We keep your choice in your browser’s local storage for up to six months. You can change it using Cookie settings in the footer. If you withdraw consent, collection stops and this website removes its Google Analytics cookies.

When accepted, the _ga and _ga_RHNWLQJ5N6 cookies distinguish browsers and maintain visit information. This website sets their lifetime to six months. Your consent choice is stored as office-partner-analytics-consent-v1. This is separate from the analytics cookies.

This integration keeps Google advertising storage, advertising user data, personalised advertising and Google Signals disabled. Google may process analytics information outside the UK. Read Google’s privacy policy and how Google uses information from sites that use its services.

Your selected support package and service can be carried into the enquiry form in the page address. The hosting service may also process technical information such as IP addresses and request logs to deliver and protect the website.

Your information rights

Depending on the circumstances and the lawful basis, you can ask to access your personal information, correct it, have it deleted, limit its use or receive a portable copy. Where processing relies on consent, you can withdraw that consent. These rights have conditions and exceptions, so deletion is not always possible where information must lawfully be kept.

Contact Contact us to make a request. Access requests normally require a response within one month. The law allows extra time in certain circumstances, including complex or multiple requests, and requires an explanation when an extension is used.

Your right to object

You can object to the use of your personal information based on legitimate interests for reasons relating to your situation. You also have an unconditional right to object to direct marketing. Email Contact us to raise an objection.

Privacy complaints

If you are concerned about how your information has been handled, email Contact us or call 01384 492424. Explain your concern and the outcome you are seeking. You do not need to use a special form.

We will acknowledge a data protection complaint within 30 days, investigate it without undue delay, keep you informed and explain the outcome. You can also raise a concern with the Information Commissioner’s Office (ICO).
